Meeting minutes from April 11, 2009
Pioneer Cavy Fanciers
Minutes taken by Stine, secretary.

Present: Dana Kolstad, Linda Loucks, Stine Theede, Marla Schaefer, Megan Buxton, Debbie Buxton.

Treasury report:

Dana presented the Treasury report and it was accepted. Some people had bills to submit and the passed that they were
reimbursed.

Dana reported that our change in tax status and tax periods is in the works. She has another meeting with the layer later
this month and has been informed that it usually takes the government agency about 6 months to approve the application,
but we can file as “pending” and still get the benefits of the new status.
The application fee to the IRS is $300 which Dana requested permission to pay – it was granted.
As part of the change, we need to take inventory of out assets – this will be done as we unload the trailer at the Rupert
show.
Anybody who has arrived at the fair ground at that time is welcome to help!


Old business

The minutes from the last meeting were accepted.

Linda won’t be coming to the April show in Rupert so Stine has taken over as superintendent. Linda will send water for the
coffee/the/hot chocolate (and pigs) with Dana. It was decided to leave a donation can with a suggested amount and let
people pay on their own.. Debbie B. will buy hot chocolate packs and other things for it.

It was decided to take Kate Albus off the signature card for the club as she is no longer on the board. Instead, Linda
Loucks will be put on. Dana made the motion, Stine seconded, and the rest said “aye”.
Dana, Linda, and Marla will meet at the credit union to finalize.


New business

It was scheduled that we have NO April show in 2010 due to the Specialty being around the same time and several
members plan to go.

The next show dates are February 27, 2010 in Nampa and September 25th, 2010 in Rupert.

February show:
Secretary: Stine; Superintendent: Linda.
It will be double open + youth + pet. If  Nancy is willing and interested, there will also be Royalty. Possibly a raffle.

Dana will check if Steve Lussier will judge.

September show:
Secretary: Dana; Superintendent: Marla
One open show + youth by PCF, one open by Utah

We talked about how to attract more attention from prospective members, especially young ones, and make people more
aware of our fancy in general and also see us as a resource (for animal care as well as entering in pet shows).
Stine will research and present prices for magnetic signs to put on the trailer, and possibly small ones that members can
buy.
We brainstormed ideas for activities that 4-H can arrange and our Treasure Valley club members help out with.

Stine suggested that we try to put on a show in a different area than usual to connect with different clubs. Due to our board
members, we are restricted to Idaho (and Utah). We decided to look into arranging a show in northern Idaho, possibly in
late spring of 2010.

Dana asked what we should do with our old tables that we no longer need. It was decided to offer them on Craigslist. The
board agreed on details and gave Dana permission to move forward on this. Details: $15 pr. table or all 5 for $65. After 2
weeks: $10 pr. table, $60 for all. If still not sold after 2 weeks, offer at yard sale or/then donate to Idaho Youth Ranch or
other organisasation.

Next meeting was set for Thursday July 9th at 6 PM at Linda’s. It will be BBQ – she fires up the grill and we each bring
items to cook and eat or share.
